Authentic Vacations Adventures

These Terms and Conditions (“Terms”) govern the relationship between Authentic Vacations Adventures (“we”, “us”, or “our”) and the client (“you” or “traveler”) booking a tour, safari, or other travel-related services with us in Tanzania or East Africa.
1. Booking and Payments

A deposit of 30% of the total trip cost is required to confirm your booking.

The balance (70%) must be paid no later than 30 days before the start of the trip.

For bookings made within 30 days of the departure date, full payment is required upon booking.
2. Methods of Payment
We accept payments via:

Bank transfer

Credit/debit card
All transaction fees must be covered by the client.
3. Cancellations and Refund Policy

Cancellations must be submitted in writing.

Cancellation fees apply as follows:

60+ days before the tour: 20% of total tour cost

30–59 days before the tour: 50%
-
15–29 days before the tour: 75%
-
Less than 15 days: 100% (no refund)
-
Note: No refunds are made for unused services or portions of the trip.
4. Changes and Amendments

Changes requested by the client after booking may incur additional charges.

We reserve the right to make itinerary changes due to weather, road conditions, availability, or other unforeseen circumstances, always ensuring the integrity of the tour.
5. Travel Insurance
Travel insurance is highly recommended. It should cover:

Medical expenses

Emergency evacuation
-
Trip cancellation and interruption
-
Baggage loss or delay
We are not responsible for any losses incurred due to failure to obtain travel insurance.
6. Health and Safety

Clients must inform us of any pre-existing medical conditions or allergies.

Vaccinations (e.g., Yellow Fever) and malaria prophylaxis may be required; consult your health provider.

Participation is at your own risk. You must be in adequate physical condition for selected activities (e.g., climbing Kilimanjaro).
7. Travel Documents

You are responsible for ensuring that you have a valid passport (with at least 6 months validity) and all necessary visas.

We can provide guidance, but we are not responsible for travel delays or denial of entry due to incomplete documentation.
8. Responsibilities and Liabilities

We act as agents for hotels, airlines, transport companies, and other service providers. We are not liable for injury, delay, loss, or damage caused by third parties.

While we take all precautions for your safety and comfort, travel in Africa involves risks, and you accept such risks upon booking.
9. Force Majeure
We are not responsible for any delay, loss, or damage due to acts of God, war, terrorism, civil unrest, pandemics, natural disasters, government restrictions, or other circumstances beyond our control.
10. Complaints
If you have a complaint, please notify your guide or our office immediately so we can resolve the issue promptly. Complaints not reported during the trip may not be considered valid after return.
11. Governing Law
These Terms are governed by and construed under the laws of the United Republic of Tanzania. Any legal disputes must be filed in a Tanzanian court.
